Knowledge Management System

Topics of MIS LAST PART

Knowledge Creation & Capture:-

- The KMS are sought to build corporate repositories of documents, reports, presentations and best practices.
- Organizations create new knowledge by discovering patterns in corporate data or by using knowledge workstations where engineers can discover new knowledge.
- A successful KMS requires:- systemetic data from TPS that tracks sales payments, inventory, customers and other vital data, as well as data from external sources such as new feeds, industry reports, legal opinions, scientific
research and government statistics.

Knowledge Storage:-

- After knowledge is created and captured, documents, patterns, and expert rules must be stored so they can be retrieved and used by executives.
It is stored in database
- Document Mgmt system can be used to digitize, index, and tag documents according to a coherent framework .

- Knowledge Analysis and Dissemination:-

- Knowledge can be analyzed based on various tools such as data mining etc.
- Portals, email, instant messaging, wikis, social networks have added to an existing array of collaboration of technologies .
- Training programs, informal networks, and shared management experience can be used to help managers focus their attention on the important information and knowledge.

Knowledge Application:-

- Untill and unless knowledge is not shared and applied knowledge has no value
- To provide a ROI, organizational knowledge must become a systematic part of management decision making and become situated in decision support systems.

Typed of KMS:-

Organizational wide KMS:-
Organizations deal with a large amount of knowledge. Some knowledge subsist within the organization in the form of structured text documents.
– Decision makers also need knowledge that is semi-structured like voice mail, email, chat room exchanges, digital pictures, videos, digital brochures or digital bulletien board.

- Organiztional Content Management System:
It helps the organizations in managing, both structured and semi structured types of information as well as knowledge.

Types of Decision Support System:-

1).Status Inquiry Systems:-

– The number of decisions in the operational management and some at the middle management are such that they are based on one or two aspect of a decision making situation.
– If the status is known, the decision is automatic i.e status and solution is a unique relation.

2). Data Analysis Systems:-– It is based on comparative analysis and make use of a formula or an algorithm.
– eg. cash flow analysis, inventory analysis etc.

3). Information Analysis System:-

– The data is analyzed and the information reports are generated.
– The reports might be having some expectations as a feature.
– It uses this reports for decision making
– eg. sales analysis, accounts receivables system etc

4). Accounting system:-

– It might not be used as decision making but they are desirable to keep track of the major aspects of the business or function.
– The content of these systems is more of data processing which leads to formal reporting with exceptions if necessary.

5). Model Based system:-
– These system are simulation models or optimization models for decision making.
– These decisions, generally are one time and infrequent, and provide general guidelines for operation or management.
– eg. job scheduling rules, resource or asset , facility planning systems

Components of DSS:-

DBMS – stores data
-  Model Mgmt system
– It stores and accesses models that managers use to make decisions.
– Such models are used for designing a manufacturing facility.
– Analyzing the financial health of an organization.
– Model builder is used to develop models.
Support tools
– It is like online help
– Pull down menus
– User interfaces.
– Graphical analysis
– Error correction mechanism.
– Facilitate the user interactions with the system.
